Removing file-format friction
The blocker nobody warns you about.
A business client says yes. They're ready. Then onboarding stalls for two months because their accounting software exports an issued check file your platform won't accept. This is the most common, least discussed adoption killer in Positive Pay.
The business uses whatever accounting software they use. Your platform has to accept whatever that software exports. When it doesn't, the friction lands on your treasury team and the business client, and enthusiasm dies in the gap.
The specific problems.
Three format problems stall onboarding repeatedly:
Missing data fields. Some accounting software doesn't export a full MICR line or an account number in the issued check file. If your platform requires those fields rigidly, the file rejects.
Header mismatches. If a platform requires exact header names ("Account Number" vs "Acct #" vs "account_number"), a business client's export breaks on a naming difference that has nothing to do with the data.
Format types. Some accounting software exports headerless files, fixed-length files, or non-standard delimited files. A rigid platform handles one format and rejects the rest.
What to ask your vendor.
Three questions:
- Can your platform accept an issued check file without a header, and without an account number, by letting us map field positions?
- What accounting software exports have you successfully ingested? Name them.
- When a business client's file doesn't load, what's your support process and typical turnaround?
A modern platform answers all three cleanly. A legacy platform makes file format the business client's problem.
The workarounds that keep things moving.
Build multiple file format profiles. If your platform lets you save format templates, build one for each common accounting software your business clients use. Reuse them.
Use headerless mapping. If your platform supports it, headerless files with position-based field mapping sidestep the header-name matching problem entirely.
Pre-build from transaction history. For ACH especially, pull the business client's transaction history and build their initial ruleset before go-live, so day one isn't an exception flood.
The long-term fix is a vendor with file-agnostic ingestion. The short-term fix is your own library of saved format profiles.
Survey your enrolled and prospective business clients on what accounting software they use. Build a saved format profile for the top three. That single project removes the most common onboarding stall.
